Casting and participants

People attach to a production in two layers: Participants — who’s involved and in what function — and Casting — who plays which characters. Participants feed the planner’s attendee picker; the cast drives the cast panel on performance events and the names on call sheets.

The Participants tab is split in three: Stage Management, Actors & Artistic Team, and Technical & Other. Each participant gets a production role — Administrator, Stage Manager, Artistic Team, Actor, Technician, or Other — and can additionally carry a title (“Scenographer”, “Choreographer”), a department, and start and end dates.

People who aren’t in the people database — guests, freelancers — are added as external with a name and optional email. They carry their own badge and can be called like anyone else.

The Casting tab defines the production’s characters and who covers them, in priority order: Primary, Understudy, and Cover. Who actually performs on a given night is chosen on the performance event itself in the planner — the cast panel shows tonight’s cast per character and lets you override individual roles.

With the GrandPlanner module on, managers also get the Staffing tab: role requirements and qualifications per production, which the feasibility checks calculate against.
