Year view

The year view zooms the planner out to a density map: one compact grid per month, one square per day. The more events a day has, the darker the square fills — the scale at the bottom runs from None through 1, 2, and 3 to 4+. Today has a clear outline, and each square shows its count when you hover.

Multi-day events count on every day they cover, so a production week lights up as a continuous block.

Choosing the period

The from and to months at the top control how much of the calendar is drawn. Auto resets to the period that actually has events — first to last. If the period covers a very large number of events, a notice says only the first ones are shown; narrow the period for full coverage.

Periods you use often — “Autumn 2026”, “Spring season” — can be saved with Save as preset. Presets are shared with the whole organisation; you can delete your own, administrators can delete any.

From overview to action

The year view is for reading — placement happens in the week view. Find the busy or open week on the map, and switch to Week to work on it. The season frame around the year is set under Admin → Theatre seasons; holidays from Admin → Holidays are the days planning should steer around.

Tip

Use the year view in season-planning meetings: the density map shows in seconds where there’s room for another production — and which weeks are already oversubscribed.
